  • Clear Sector & Crisis Boundaries: Recovery Coaching is not acute crisis intervention, clinical therapy, or financial management.

1. Purpose & Registration Scope

Steady Guide delivers specialised, person-centred Psychosocial Recovery Coaching across Toowoomba, Chinchilla (MMM4), Miles (MMM5), and Tara (MMM6). Operating under NDIS Registration Group 0106 (Assistance in coordinating or managing life stages, transitions, and supports), compliance with this policy is mandatory for all personnel to ensure audit readiness, clinical rigor, and operational integrity.

Our service model is anchored in a recovery-oriented, strengths-based, and neuroaffirming framework. We focus on building personal resilience, navigating the episodic nature of mental health conditions, and empowering participants to remain the primary architects of their own recovery journey.

2. What Steady Guide WILL Bill For (Claimable Activities)

Steady Guide bills strictly for legitimate Psychosocial Recovery Coaching activities as defined under the NDIS Pricing Arrangements and Price Limits. These activities focus on capacity building, resilience, self-advocacy, and collaborative recovery planning:

  • Direct Coaching & Recovery Support: Delivering 1:1 coaching sessions focused on capacity building, emotional resilience, and developing personalised strategies for managing episodic mental health challenges.
  • Self-Advocacy Empowerment: Coaching participants in self-advocacy techniques so they can communicate directly with mainstream health services, NDIS planners, and community providers with confidence.
  • Collaborative Recovery Planning: Developing and updating participant-directed recovery plans that identify personal strengths, early warning signs, crisis management preferences, and long-term life goals.
  • Life Transition Coaching: Coaching participants through significant life shifts, including readiness for education, training, regional employment, or moving into independent community housing.
  • Non-Face-to-Face (NF2F) Progress Notes: Documenting participant-specific case notes, goal progression, and functional evidence directly into the encrypted Astalty database immediately following sessions.
  • Goal-Linked System Research: Researching local mental health programs, community hubs, or specialist support networks directly aligned with the participant’s specified NDIS goals.
  • NDIA Implementation & Review Reporting: Synthesising functional evidence, drafting Initial Plan Implementation reports, and preparing comprehensive Plan Review reports for NDIA reassessments.
  • Short Notice Cancellations: Enforcing a short notice threshold of less than 7 clear days’ notice (per the signed Service Agreement). Cancellations within this window are billed at 100% of scheduled support under NDIS guidelines.

3. What Steady Guide WILL NOT Bill For (Out of Scope)

To maintain role clarity, legal compliance, and ethical boundaries, Steady Guide strictly enforces limits on what we do not bill for. The following functions fall outside the scope of Psychosocial Recovery Coaching and will never be billed to an NDIS plan:

  • Acute Crisis Response or Emergency Care: Recovery Coaching is an active capacity-building support, not a 24/7 acute crisis or emergency response service. In acute health, mental health, or safety emergencies, emergency services (000), Lifeline (13 11 14), or Queensland Health acute care teams must be contacted.
  • Clinical Psychological Therapy or Medical Treatment: We do not deliver clinical psychological therapy, psychiatric assessment, medication administration, or formal diagnostic evaluations.
  • Substitute Decision-Making or Legal Guardianship: We do not make decisions on behalf of participants, act as legal nominees, or override established supported decision-making structures.
  • Plan Management or Financial Administration: We do not handle participant bank accounts, disburse cash, or act as a Registered Plan Management provider.
  • Formal Legal Advocacy: While we build self-advocacy skills, Recovery Coaching is not formal legal advocacy. Where legal representation or formal individual advocacy is required, we connect participants with independent advocacy bodies, as these services have already been funded by the government. High-level systemic advocacy is not billed to individual NDIS plans.
  • General Business Overheads & Marketing: Administrative overheads, staff training, general marketing, website maintenance, and preliminary intake inquiries prior to Service Agreement execution are never billed to participants.
  • Unbatched Micro-Administrative Tasks: Single administrative tasks under 7 minutes (such as a 2-minute phone call) are non-billable unless batched together to reach a 15-minute billing unit.
  • Mainstream Service System Responsibilities: We do not perform tasks that are the statutory responsibility of public hospitals, public housing allocation, justice systems, or state education departments.

4. Time Tracking, 15-Minute Increments & Cancellations

To maintain NDIS compliance and administrative transparency, Recovery Coaching staff adhere to these technical billing protocols:

  • 15-Minute Increment Standard: All billable time is recorded in 15-minute units (0.25 hrs).
  • Non-Face-to-Face Billing Tracking: Non-face-to-face tasks are billed on actual time spent.
  • Task Batching Requirement: Micro-activities (such as a 2-minute phone call followed by a 3-minute email) must be batched together. Single tasks taking under 7 minutes are non-billable unless batched to reach the 0.25-hour unit. All batched tasks are documented in a single, comprehensive progress note in Astalty.
  • Travel Costs: We do not charge provider travel, as this would very quickly consume many psychosocial recovery coach budgets. Instead, we claim it on our tax. Having said this, we reserve the right to charge provider travel if we travel to a scheduled appointment and find that you are not present for the appointment.
