This Easy Read statement gives complete, open information about how Steady Guide uses Artificial Intelligence (AI). We put people first, support human potential, and use smart technology strictly to help us work efficiently without compromising your trust.
Section 2: How We Use AI (Our Administrative Helper)
We use Google Notebooks (Gemini Notebook) as an internal research and drafting assistant. Here are the approved tasks AI helps us with:
Summarising Public Information
AI helps us summarise complex NDIS laws, government policy updates, and industry reports into plain-English guides for regional Queensland families.
Drafting Educational Content & Outlines
AI helps create first drafts for our blog articles, newsletter templates, social media posts, and upcoming educational publications.
Building Policy Templates
AI helps structure audit-ready governance frameworks and accessible Easy Read HTML layouts conforming to NDIS Practice Standards.
Section 3: Formal Declaration of AI Drafting Assistance
π’ Official Openness Declaration:
In line with our pledge of complete corporate honesty, Steady Guide formally declares that this Public AI Transparency Statement and our Easy Read webpage templates were written with the drafting assistance of Google Notebooks (Gemini Notebook). Every draft was thoroughly checked, edited, and verified by Jenny Mathers.
Section 4: Our Human-in-the-Loop Promise (3-Step Check)
AI programs can make mistakes or hallucinate facts. To prevent errors, we follow a strict 3-step Human-in-the-Loop (HITL) check before anything is published:
Our 3-Step Human Verification Process:
- Step 1: Reviewed
We check all facts, NDIS rules, and legal references against official primary sources like the NDIS Act 2013 and Quality Commission guidelines. - Step 2: Edited
We rewrite AI drafts to ensure a respectful, empathetic, neuroaffirming tone and easy-to-understand reading level. - Step 3: Approved
No document, policy, or public update is published without final sign-off from Jenny Mathers (Principal Support Coordinator).
Section 5: Our Non-Negotiable Privacy Red Lines
We follow strict operational “Red Lines” under the NDIS Code of Conduct and Australian Privacy Principles:
Zero Personal Data Input
We NEVER type, paste, or upload participant names, addresses, diagnoses, medical reports, or NDIS plan budgets into AI models.
We never put any type of participant information into our AI even if it is de-identified because eventually the software will be able to identify you if this is done enough times.
No Automated Decisions
AI software is never used to decide your support needs, funding, or service agreement. All decisions are made by human professionals.
No Automated Chatbots
We do not use automated virtual receptionists or AI chatbots for participant inquiries. Support coordination requires genuine human connection and care.
Section 6: Keeping Participant Files Separate and Safe
We use a “Privacy by Design” approach to keep participant records 100% safe:
Australian Data Servers
All participant records, plans, and case notes are hosted securely in Sydney and Melbourne data centres inside encrypted Astalty and Microsoft 365 environments.
Complete Digital Segregation
Our research accounts and AI drafting tools run on completely separate systems. There is no technical connection between AI tools and our participant database.
